Most of our communities include some sort of calendar in their eblast. It usually goes just beneath the Recurring Events list, so all of the community's events are close together.

Microsoft Publisher Calendar

This type of calendar is static, which means it is very much like a printed page and doesn't change throughout the month. Typically, whomever manages the calendar will create a printable PDF and send it to you to include. Here are the steps to complete.

1.  Download the PDF to your computer. Name it something like Jan 2025 Calendar. Be sure to include the month and the year in the name.

2.  Double click on the image block of the article in your eblast.

3.  Select "Upload" on the top right of the popup window.

4.  Click "Browse your computer to upload.

5.  Navigate to where you saved the calendar on your computer.

6.  Double-click the calendar PDF file. You will see 2 files in the upload box - one that just says PDF and one that is a small image of the calendar - see below:

7.  Click "Upload" in the bottom right corner. Both files will get green checkmarks on them when they are uploaded.  You can click "Done" in the bottom right corner to close the pop up.

8.  The image library will pop up on the left and the image will be in the main window. Click on "Insert" in the bottom right corner and the image will be added to the article.

9.  Now, we want to add a link to the full sized PDF, so our residents can see the full calendar when they click on the small one.  It is actually very easy:

   a. In the eblast, click once on the small image of the calendar to select it.

   b. On the left, you will see a properties box open for the image.

   c. Look for the Link icon, circled below in red.

   d. A box will pop up, which is asking you what type of file  you would like to link this image to. The answer in the case of a PDF is "Document".  Click on that.

   e. A new pop-up will show you a list of the documents that have been uploaded. This is why we included the month and year of the calendar in the name - so we can select the correct one in this step.  Click the third column header to put them in order of newest first to put the file you just uploaded at the top. Then click the button to the left of the calendar PDF to select it.

   f. Scroll down to the bottom of the document window and click "Insert."

 

Woo-hoo, you did it!  The PDF is now linked to the little image of the calendar and will pop up when clicked on in the eblast. This makes it easier to read and allows the resident to print it if they want to.
